Cold email copy advice usually optimises the wrong thing: the pitch. The pitch is the part the recipient already knows how to ignore.

The observation is the sentence that decides everything. It must contain something true about that specific company that a template could not produce.

For example, noting that a company has had four operations roles open for six weeks is an observation. Noting that they are a growing agency is a category, and the recipient can tell the difference in under a second.

Why length hurts more than tone

Cut the introduction entirely. Nobody opens a cold email to learn who you are, and a sentence establishing your credentials postpones the only sentence that matters.

Cut the second offer too. One thing, clearly stated, outperforms two things competing for the same decision.

The tells that mark a message as automated

  • Opening with your own name and company. Nobody in the history of cold email has replied because of this.
  • A merge field pretending to be research. I saw you are the VP of Marketing is a database field, not an observation.
  • Flattery. Admiring their growth signals that you have nothing specific to say.
  • The break up email. Recipients recognise it, especially recruiters and salespeople who send it themselves.
  • Two asks. A call or a resource means neither is the ask.

Each of these is a signal about effort rather than a style preference. They tell the reader the message came from a sequence, which changes how they read every sentence after it.
